Gen-AI Policy

Generative Artificial Intelligence
This policy guides the ethical and transparent use of Generative Artificial Intelligence (Gen-AI) tools in manuscripts submitted to UTAMAX: Journal of Ultimate Research and Trends in Education. Its aim is to maintain academic integrity, prevent misuse, and provide clear expectations for authors, reviewers, and editors.

The policy applies to all manuscript types and supplementary materials. It covers any use of Gen-AI to generate, modify, or support the creation of text, data, visuals, or analytical content.

 Transparency

Authors must disclose any use of Gen-AI tools, stating the tool, version, purpose, and sections involved. Gen-AI tools cannot be credited as authors.

 Human Responsibility

Authors remain fully accountable for the accuracy, originality, and integrity of all content, including text refined or assisted by AI.

 Allowed Use of Gen-AI

Gen-AI may be used to:

  • Improve language clarity, coherence, and grammar
  • Assist with outlining or organizing ideas
  • Support data analysis when transparently described
  • Edit visuals only when aligned with the research method

All uses must be explicitly acknowledged.

 Prohibited Use of Gen-AI

The following are not allowed:

  • Generating full manuscripts or substantial content without meaningful human contribution
  • Creating or altering data, results, references, or visuals
  • Using AI to produce inaccurate or fabricated scientific content
  • Submitting AI-generated material without disclosure
  • Using AI for any part of peer review or editorial decision-making

Violations may result in rejection or retraction.

 Disclosure Requirements

Authors must include a short statement detailing AI use, such as:
“ChatGPT (GPT-5.1, accessed January 2024) was used to refine language. No analysis, interpretation, or data generation was performed by the tool.”

 Integrity and Compliance

Manuscripts relying heavily on AI without sufficient human contribution constitute misconduct. Editors and reviewers may request clarification. Undisclosed AI use discovered later may lead to correction or retraction.

 Peer Review Confidentiality

Reviewers must not upload manuscript content into AI tools. Reviewer comments and editorial decisions must be written and evaluated solely by humans.

 Recommendations for Authors

Authors are encouraged to:

  • Use AI mainly for language editing
  • Verify all outputs for accuracy
  • Document AI use during manuscript development
  • Ensure that all analysis and conclusions reflect human scholarly judgment

UTAMAX supports responsible use of Gen-AI to enhance clarity and efficiency while ensuring that scholarly content remains human-led, transparent, and ethically produced.
